Throughout these Terms and Conditions, “the Academy”, “we”, “us” and “our” refer to The Glow Training Academy. “Learner”, “student”, “you” and “your” refer to the person booked onto the course.

By paying a deposit, making full payment, accepting a course place or attending training, you confirm that you have read, understood and agreed to these Terms and Conditions.

1. ABOUT OUR TRAINING

1.1 The Glow Training Academy provides continuing professional development training within the hair, beauty, skin and aesthetics industries.

1.2 Our courses are CPD-accredited where this is specifically stated within the individual course description or booking information.

1.3 Our courses are not Ofqual-regulated qualifications unless we expressly confirm otherwise in writing.

1.4 The CPD accreditation, course content, training hours and certificate provided will be specific to the course booked.

1.5 Some masterclasses, events or additional training sessions may not carry CPD accreditation. This will be made clear before booking.

1.6 Course descriptions, images, schedules and treatment examples are provided as an accurate guide. The order or timing of practical activities may change depending on learner progress, model availability and operational requirements.

2. NO FORMAL ASSESSMENTS

2.1 Our CPD courses do not include formal written examinations, graded assessments or regulated qualification assessments unless expressly stated otherwise.

2.2 Educators will observe learners throughout practical training to maintain safety, provide guidance and ensure that treatments are being carried out in accordance with the techniques taught.

2.3 This practical observation is not a formal examination or regulated assessment.

2.4 An educator may stop a learner from continuing a practical treatment where the educator reasonably believes that:

  • the treatment is being carried out unsafely;

  • instructions are not being followed;

  • the learner’s conduct could place themselves, a model or another person at risk;

  • hygiene or infection-control requirements are not being followed; or

  • continuing the treatment would not be appropriate.

2.5 Stopping a practical treatment for safety reasons does not automatically entitle the learner to a refund.

3. ENTRY REQUIREMENTS

3.1 Learners must meet any entry requirements stated within the course information before attending.

3.2 Entry requirements may include existing beauty, hair, facial, anatomy and physiology, complications management or injectable aesthetics qualifications.

3.3 Learners must provide accurate and truthful information regarding their existing qualifications, experience and professional background.

3.4 The Academy may request copies of relevant certificates before confirming or delivering training.

3.5 Where a learner does not meet the required entry criteria, the Academy may:

  • refuse the booking;

  • postpone the learner’s attendance;

  • recommend that the learner completes a prerequisite course first; or

  • cancel the booking and provide any refund legally due after deducting reasonable costs already incurred.

3.6 Learners must not misrepresent their qualifications, professional status or ability to obtain insurance.

3.7 Injectable aesthetics courses and other invasive treatment courses are available only to learners aged 18 or over.

3.8 The minimum age for other courses will be confirmed within the relevant course information.

4. INSURANCE AND LOCAL AUTHORITY REQUIREMENTS

4.1 It is the learner’s responsibility to check that their intended insurer will accept the course and CPD certificate before booking.

4.2 Different insurers may have different entry requirements. Completion of a course does not guarantee that a particular insurer will offer cover.

4.3 Learners must also check whether they require:

  • local authority registration or licensing;

  • planning permission;

  • specific premises requirements;

  • professional membership;

  • prescribing arrangements;

  • medical oversight;

  • additional qualifications; or

  • any other legal or regulatory permission.

4.4 Requirements can vary depending on the learner’s location, existing qualifications, chosen treatment and individual insurer.

4.5 The Academy is not responsible where a learner later discovers that their insurer, employer, professional body, local authority or another training provider does not accept their certificate.

5. BOOKINGS

5.1 An enquiry, discussion or provisional date does not secure a course place.

5.2 A place is secured only when:

  • the required deposit or full payment has been received;

  • any requested entry-requirement evidence has been supplied; and

  • the Academy has issued written confirmation of the booking.

5.3 Course places are allocated on a first-paid basis.

5.4 The person making the booking is responsible for ensuring that all information provided is accurate.

5.5 Where someone books and pays on behalf of another learner, the attending learner must also read and accept these Terms and Conditions.

5.6 The Academy may refuse a booking where we reasonably believe that:

  • the learner does not meet the course requirements;

  • the learner has supplied misleading information;

  • accepting the booking may create a health or safety risk;

  • the learner has previously behaved abusively or inappropriately; or

  • accepting the booking would not be suitable for the course.

6. COURSE FEES AND DEPOSITS

6.1 The course price confirmed at the time of booking is the price payable, subject to the correction of an obvious pricing or administrative error.

6.2 A booking deposit reserves the learner’s date and is deducted from the total course fee.

6.3 Unless otherwise agreed in writing, the remaining course balance must be paid no later than 14 calendar days before the course date.

6.4 Bookings made within 14 calendar days of a course may require full payment at the time of booking.

6.5 Learners will not be permitted to attend training where the full course balance remains unpaid.

6.6 A booking deposit is normally non-refundable after the applicable statutory cancellation period because the Academy begins administration work and reserves a limited course place.

6.7 However, the Academy will not retain more than its reasonable losses and costs resulting from a learner’s cancellation.

6.8 Any amount retained may take into account:

  • administrative work already completed;

  • course materials supplied;

  • digital manuals accessed or downloaded;

  • products or kits ordered for the learner;

  • educator costs;

  • model-booking costs;

  • payment-provider charges where legally permitted;

  • the notice provided; and

  • whether the Academy was able to refill the course place.

6.9 Promotional prices and discounts:

  • cannot be exchanged for cash;

  • cannot normally be applied retrospectively;

  • cannot be transferred to a different promotion;

  • cannot be combined with another offer unless agreed in writing; and

  • may have a stated expiry or booking deadline.

7. PAYMENT PLANS AND THIRD-PARTY PROVIDERS

7.1 Where payment is made through Klarna, Clearpay, PayPal Pay in 3, PayPal Pay in 4 or another payment provider, the learner will also be subject to that provider’s terms.

7.2 A payment plan does not change the full amount payable for the course.

7.3 The Academy is not responsible for:

  • a learner being refused finance;

  • credit checks;

  • missed-payment charges;

  • interest or fees imposed by the provider;

  • suspension of the learner’s account; or

  • any dispute between the learner and the payment provider.

7.4 A learner must continue making payments to the provider unless the provider confirms otherwise.

7.5 Where a refund is due, it will usually be returned through the original payment method or payment provider.

8. FOURTEEN-DAY CANCELLATION RIGHT

8.1 Where a consumer books online, over the telephone, through social media or otherwise at a distance, they may have a legal right to cancel the booking within 14 days of entering into the contract.

8.2 A learner wishing to exercise this right must send a clear written cancellation request to:

Theglowtrainingacademy@gmail.com

8.3 The cancellation request must include:

  • the learner’s full name;

  • the course booked;

  • the booking date;

  • the course date; and

  • a clear statement that they wish to cancel.

8.4 Where the learner requests that the Academy begins providing services during the 14-day cancellation period, the Academy may charge a proportionate amount for services already supplied.

8.5 Services may include:

  • booking administration;

  • personalised course preparation;

  • consultation or support;

  • online training;

  • educator time;

  • course materials; or

  • other work specifically requested by the learner.

8.6 Digital manuals will normally be supplied after the 14-day cancellation period unless the learner requests early access.

8.7 Where a learner requests immediate access to a digital manual or other digital course content, the learner may be asked to expressly consent to receiving it immediately and acknowledge that this may affect their right to cancel that part of the booking.

8.8 Nothing within these Terms and Conditions removes or restricts a learner’s statutory consumer rights.

9. CANCELLATIONS BY THE LEARNER

9.1 All cancellations must be submitted in writing.

9.2 Telling an educator verbally, commenting on social media or failing to attend does not constitute a valid cancellation request.

9.3 Where a learner cancels after the applicable cooling-off period, any refund will be calculated according to:

  • the notice given;

  • services already provided;

  • materials supplied;

  • reasonable costs already incurred;

  • the Academy’s resulting financial loss; and

  • whether the place can reasonably be filled.

9.4 The booking deposit will normally be retained where it reasonably reflects the Academy’s costs and loss caused by the cancellation.

9.5 Where the Academy fills the cancelled place, this will be taken into account when calculating any amount retained.

9.6 Learners are strongly advised to obtain suitable cancellation or training insurance where appropriate.

10. RESCHEDULING AND TRANSFERRING A COURSE

10.1 A learner may request to move their booking to another available date.

10.2 Rescheduling requests must be made in writing.

10.3 Where more than seven calendar days’ notice is provided, the Academy will normally allow one date transfer, subject to availability.

10.4 The replacement date must normally be attended within six months of the original course date.

10.5 Only one transfer is permitted per booking unless the Academy agrees otherwise in writing.

10.6 Where fewer than seven calendar days’ notice is provided, a transfer is not guaranteed.

10.7 Where fewer than 72 hours’ notice is provided, or the learner does not attend, the learner may lose the right to transfer the booking.

10.8 Any decision will take into account the Academy’s reasonable costs, educator commitments, products prepared, models arranged and ability to refill the place.

10.9 Where a learner transfers to a more expensive course, the price difference must be paid.

10.10 Where a learner requests transfer to a cheaper course, no automatic refund of the difference will be due unless agreed in writing.

10.11 Course places cannot be transferred to another person without prior written permission from the Academy.

11. LATE ARRIVAL AND NON-ATTENDANCE

11.1 Learners must arrive at the time stated within their booking confirmation.

11.2 Learners should contact the Academy as soon as possible if they expect to be late.

11.3 Late arrival may result in:

  • missed theory or practical content;

  • reduced practical time;

  • inability to participate in a scheduled model treatment;

  • the course finishing later where this is reasonably possible; or

  • the learner being required to return on another date at an additional cost.

11.4 The Academy is not required to delay other learners or extend an educator’s working day due to a learner’s late arrival.

11.5 A learner who fails to attend without notice will be treated as a non-attendance.

11.6 Non-attendance does not automatically entitle the learner to a refund or alternative course date.

12. CANCELLATION OR RESCHEDULING BY THE ACADEMY

12.1 The Academy may occasionally need to cancel, postpone or change a course due to circumstances including:

  • educator illness;

  • emergency circumstances;

  • insufficient learner numbers;

  • venue issues;

  • equipment failure;

  • model cancellation;

  • transport disruption;

  • severe weather;

  • utility failure;

  • public-health restrictions; or

  • circumstances outside the Academy’s reasonable control.

12.2 Where the Academy cancels a course, the learner will normally be offered:

  • an alternative course date;

  • a credit towards another course; or

  • a refund of the affected course fees.

12.3 The Academy will not be responsible for indirect expenses incurred by a learner, including:

  • travel;

  • accommodation;

  • childcare;

  • meals;

  • loss of earnings;

  • loss of appointments; or

  • other personal arrangements.

12.4 Learners should avoid booking non-refundable travel or accommodation where possible.

12.5 Nothing in this section limits the Academy’s responsibility where doing so would be unlawful.

13. COURSE CHANGES

13.1 The Academy may make reasonable changes to:

  • the timetable;

  • educator;

  • treatment order;

  • products or brands used;

  • training room;

  • practical model schedule; or

  • course resources.

13.2 Any changes will not materially reduce the overall course content without the learner being informed.

13.3 Specific product brands may be substituted where products are unavailable, discontinued, unsuitable or affected by supply issues.

13.4 Training with a particular brand does not mean that the learner is certified, employed or officially endorsed by that brand unless expressly stated.

14. LIVE MODELS

14.1 Practical courses may involve treatments on live models.

14.2 The Academy will make reasonable efforts to arrange suitable models where models are included as part of the course.

14.3 Model availability cannot be guaranteed because models may cancel, become unsuitable, fail to attend or develop a contraindication.

14.4 Where a model becomes unavailable, the Academy may:

  • arrange a replacement model;

  • adjust the practical schedule;

  • use a training mannequin or alternative practical method where appropriate;

  • provide an educator demonstration;

  • arrange a return practical session; or

  • take another reasonable step to deliver the practical content.

14.5 Learners must not carry out a treatment on a model without educator permission.

14.6 Learners must follow all consultation, consent, contraindication, hygiene and treatment instructions.

14.7 A model has the right to withdraw consent before or during a treatment.

14.8 A learner is not entitled to insist that a model continues with a treatment.

14.9 Where the learner has been asked to provide a model, it is the learner’s responsibility to ensure that the model:

  • is available for the agreed time;

  • meets the stated requirements;

  • provides honest medical information;

  • follows pre-treatment instructions; and

  • is willing to provide informed consent.

14.10 Learners will not normally be expected to perform treatments on one another unless this has been clearly agreed in advance.

15. HEALTH, CONTRAINDICATIONS AND PRACTICAL PARTICIPATION

15.1 Learners must inform the Academy before attending if they have a condition, injury, allergy, pregnancy, disability or other circumstance that may affect their ability to participate safely.

15.2 Learners must not attend while suffering from a contagious illness or where attending may place other people at risk.

15.3 The Academy may prevent a learner from participating in a practical activity where participation would be unsafe.

15.4 Learners must provide honest information during any consultation or treatment process.

15.5 Learners must not pressure another learner, model or educator to carry out a treatment where there is a contraindication.

15.6 Depending on the course, learners may be required to wear:

  • clean scrubs;

  • an all-black professional uniform;

  • closed-toe footwear;

  • tied-back hair; and

  • suitable personal protective equipment.

15.7 Long or unsuitable nails, loose jewellery, inappropriate clothing or poor hygiene may prevent practical participation.

16. SAFETY AND PROFESSIONAL CONDUCT

16.1 Learners must behave respectfully and professionally towards educators, staff, models and other learners.

16.2 The Academy will not tolerate:

  • abusive, threatening or intimidating behaviour;

  • discrimination or harassment;

  • deliberate disruption;

  • unsafe treatment practice;

  • being under the influence of alcohol or drugs;

  • unauthorised recording;

  • damage to Academy property;

  • misuse of equipment or products; or

  • repeated refusal to follow reasonable instructions.

16.3 The Academy may ask a learner to leave where their conduct presents a safety risk or seriously disrupts training.

16.4 Depending on the seriousness of the situation, the learner may not be entitled to a refund where removal was caused by their own conduct.

16.5 The Academy may refuse future bookings from anyone who has behaved abusively, threateningly or dishonestly.

17. ATTENDANCE AND COURSE COMPLETION

17.1 Learners are expected to attend the full course and participate in the scheduled learning activities.

17.2 A learner who misses a substantial part of the training may not receive a certificate until the missed content has been completed.

17.3 Any additional session required because of the learner’s lateness, absence or failure to participate may carry an additional charge reflecting the extra educator time and resources required.

17.4 The Academy may require a learner to complete certain theory reading before attending.

17.5 Pre-course reading is intended to support the practical training and is not a formal graded assessment.

18. CPD CERTIFICATES

18.1 A CPD certificate confirms that the named learner attended and completed the course content stated on the certificate.

18.2 A certificate is not:

  • an Ofqual-regulated qualification;

  • a licence to practise;

  • a guarantee of insurance;

  • a guarantee of employment;

  • proof of medical registration; or

  • permission to perform a treatment where further legal or insurance requirements apply.

18.3 Certificates will normally be issued following:

  • full attendance;

  • completion of the scheduled course content;

  • appropriate participation in practical activities;

  • professional conduct; and

  • full payment of all course fees.

18.4 A certificate may be delayed or withheld where:

  • course fees remain unpaid;

  • the learner did not attend the full course;

  • required practical content was missed;

  • the learner supplied false qualification information; or

  • the learner’s conduct created a serious safety concern.

18.5 Where a certificate contains an error caused by the learner supplying incorrect personal information, an administration charge may apply for a replacement.

18.6 Lost replacement certificates may also carry a reasonable administration and printing charge.

18.7 Certificates must not be altered, copied for another person or used to misrepresent the training completed.

19. LEARNER RESPONSIBILITY AFTER TRAINING

19.1 The Academy provides education and practical guidance based on the course content.

19.2 After completing training, the learner remains responsible for:

  • practising within the limits of their training and competence;

  • obtaining appropriate insurance;

  • following manufacturer instructions;

  • completing consultations and obtaining informed consent;

  • checking contraindications;

  • maintaining hygiene and infection control;

  • keeping accurate client records;

  • obtaining any necessary licences or registrations;

  • complying with prescribing requirements where applicable;

  • seeking further education where needed; and

  • referring or declining treatment where appropriate.

19.3 Learners should not perform a treatment independently until they feel confident, competent, insured and legally permitted to do so.

19.4 Business results, client numbers, treatment income and employment opportunities cannot be guaranteed.

20. COURSE MANUALS AND INTELLECTUAL PROPERTY

20.1 All manuals, presentations, videos, templates, course notes, photographs and educational resources remain the intellectual property of the Academy or the relevant content owner.

20.2 Course materials are supplied for the learner’s personal educational and professional reference only.

20.3 Learners must not:

  • copy or reproduce manuals for other people;

  • upload materials online;

  • sell or share course resources;

  • use the materials to create their own training course;

  • remove Academy branding;

  • record or distribute educator demonstrations without permission; or

  • represent Academy materials as their own work.

20.4 Course manuals may be downloaded or printed for the learner’s own use.

20.5 Unauthorised copying, distribution or commercial use may result in legal action.

21. PHOTOGRAPHY, VIDEO AND SOCIAL MEDIA

21.1 The Academy may take photographs or videos during training for educational, record-keeping or promotional purposes.

21.2 Promotional use may include:

  • social media;

  • the Academy website;

  • printed marketing materials;

  • advertisements;

  • course information;

  • student achievement posts; and

  • future promotional campaigns.

21.3 Consent for identifiable promotional photographs or videos will be requested separately.

21.4 A learner is not required to agree to promotional photography as a condition of attending their course.

21.5 Learners may withdraw consent for future use by contacting the Academy in writing. This will not always require the Academy to remove material that has already been lawfully printed, published or distributed.

21.6 Learners must not photograph, film or record models, educators or other learners without permission.

21.7 Learners must not post confidential model information, consultation details or medical information online.

22. DATA PROTECTION AND PRIVACY

22.1 The Academy will collect and use personal information required to:

  • administer bookings;

  • process payments;

  • provide training;

  • issue certificates;

  • communicate with learners;

  • meet insurance or legal obligations;

  • maintain training records; and

  • manage complaints or incidents.

22.2 Personal information may include names, contact details, qualification evidence, payment records, attendance records and relevant health or accessibility information.

22.3 Information will be handled in accordance with applicable data-protection legislation and the Academy’s Privacy Notice.

22.4 The Academy may share information with service providers where necessary, including:

  • payment processors;

  • booking systems;

  • accreditation providers;

  • insurers;

  • professional advisers; or

  • legal and regulatory authorities.

22.5 The Academy will not sell learner information to third parties.

22.6 Marketing messages will be sent only where there is an appropriate legal basis. Learners may unsubscribe from marketing at any time.

23. ACCESSIBILITY AND REASONABLE ADJUSTMENTS

23.1 The Academy is committed to providing an inclusive learning environment.

23.2 Learners who require reasonable adjustments should contact the Academy as early as possible before their course.

23.3 We will consider reasonable requests based on:

  • the learner’s needs;

  • the type of course;

  • practical safety requirements;

  • available resources; and

  • whether the adjustment would fundamentally change the course.

23.4 The Academy may request relevant information where necessary to understand and arrange the adjustment.

23.5 We cannot guarantee that every requested adjustment will be possible, but we will discuss reasonable available options with the learner.

24. EQUIPMENT, PRODUCTS AND PERSONAL PROPERTY

24.1 Learners must use Academy equipment and products only as instructed.

24.2 Learners may be responsible for damage caused deliberately or through reckless misuse.

24.3 Learners are responsible for their own belongings while attending the Academy.

24.4 The Academy is not responsible for lost, stolen or damaged personal property unless the loss was caused by the Academy’s negligence.

24.5 Any kits or products included within a course will be listed in the individual course description.

24.6 Product colours, sizes, packaging or brands may vary according to availability.

25. COMPLAINTS

25.1 We aim to resolve concerns fairly and professionally.

25.2 Learners should raise any concern with their educator or Academy management as soon as possible so that we have an opportunity to address it.

25.3 Formal complaints must be submitted in writing to:

Theglowtrainingacademy@gmail.com

25.4 The complaint should include:

  • the learner’s name;

  • the course and date attended;

  • a clear description of the concern;

  • relevant evidence; and

  • the outcome being requested.

25.5 The Academy will acknowledge the complaint and investigate it within a reasonable period.

25.6 Abusive, threatening or discriminatory communication will not be accepted, even where a complaint is being made.

26. LIABILITY

26.1 Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.

26.2 The Academy does not exclude liability for death or personal injury caused by its negligence, fraud or fraudulent misrepresentation.

26.3 Subject to the learner’s statutory rights, the Academy is not responsible for losses caused by:

  • the learner failing to follow course instructions;

  • practising outside the learner’s competence;

  • failure to obtain insurance;

  • failure to comply with local authority or legal requirements;

  • misuse of products or equipment;

  • changes made to a treatment protocol after training;

  • a third-party supplier or payment provider; or

  • circumstances outside the Academy’s reasonable control.

26.4 The learner is responsible for any treatment or business activity they carry out after completing the course.

27. EVENTS OUTSIDE OUR CONTROL

27.1 The Academy will not be responsible for delay or failure caused by events outside its reasonable control.

27.2 These events may include:

  • severe weather;

  • flooding;

  • fire;

  • epidemic or pandemic restrictions;

  • transport disruption;

  • power or internet failure;

  • venue closure;

  • supplier failure;

  • industrial action;

  • government restrictions;

  • civil emergency; or

  • serious educator illness.

27.3 Where possible, the Academy will offer an alternative date, alternative delivery method, credit or another reasonable solution.

28. CHANGES TO THESE TERMS

28.1 The Academy may update these Terms and Conditions to reflect changes to its services, business practices or legal obligations.

28.2 The terms applying to a booking will normally be those in force when the booking was made.

28.3 Where an important change affects an existing booking, the Academy will notify the learner where reasonably possible.

29. SEVERABILITY

29.1 If any part of these Terms and Conditions is found to be unlawful or unenforceable, the remaining sections will continue to apply.

29.2 Any unlawful or unenforceable provision will be treated as removed or adjusted only to the extent necessary.

30. GOVERNING LAW

30.1 These Terms and Conditions are governed by the laws of England and Wales.

30.2 Learners retain any legal right to bring a claim in the courts available to them under applicable consumer law.
