HALLMARK TRAVELS TERMS & CONDITIONS

Effective Date: September 4, 2026

Please read these Terms and Conditions carefully before purchasing travel-planning services, submitting a travel request, making a payment, authorizing Hallmark Travels to make a reservation, or using any services provided by Hallmark Travels.

By using our website, submitting a travel inquiry, paying a planning or service fee, approving a quote, authorizing a reservation, or making any payment toward a trip, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

1. ABOUT HALLMARK TRAVELS

Hallmark Travels provides professional travel-planning, travel-advisory, reservation, and related services.

Hallmark Travels acts as an intermediary between travelers and independent third-party travel suppliers, which may include airlines, hotels, resorts, cruise lines, tour operators, vacation-rental providers, transportation companies, excursion providers, travel insurance companies, and other travel-service providers.

Unless expressly stated otherwise, Hallmark Travels does not own, operate, manage, or control these third-party suppliers.

Each supplier may have its own terms, conditions, cancellation policies, refund policies, change fees, baggage policies, check-in requirements, and other restrictions. By authorizing a reservation, you also agree to the applicable supplier’s terms and conditions.

2. TRAVEL REQUESTS AND QUOTES

Submitting a travel request does not create a confirmed reservation.

All travel quotes are subject to availability and price changes until the required payment or deposit has been successfully processed and the supplier confirms the reservation.

Airfare, hotel rates, cruise fares, taxes, resort fees, service charges, supplier fees, promotions, availability, and other components can change without notice.

Hallmark Travels cannot hold or guarantee a quoted price unless the applicable supplier specifically permits a temporary hold and confirms that hold.

A quote should not be considered a guaranteed price until the reservation is booked and confirmed.

3. TRAVEL-PLANNING AND SERVICE FEES

Hallmark Travels may charge planning, consultation, research, booking, concierge, change, or other professional service fees.

Any applicable Hallmark Travels fee and its refund or credit policy will be disclosed before purchase or at checkout.

Unless expressly stated otherwise, fees paid directly to Hallmark Travels are separate from amounts paid to airlines, hotels, cruise lines, tour operators, and other suppliers.

Payment of a planning or service fee does not guarantee that a particular price, hotel, flight, room category, promotion, or other travel product will remain available.

4. ACCURACY OF TRAVELER INFORMATION

The traveler is responsible for providing accurate information for every person traveling.

Names provided for airline tickets, cruises, international travel, and other reservations must match the traveler’s government-issued identification or passport exactly when required by the supplier.

The traveler is responsible for reviewing all names, dates of birth, travel dates, departure and arrival cities, room categories, flight information, cruise information, and other reservation details before approving a booking.

Hallmark Travels is not responsible for costs, penalties, denied boarding, cancellation, or other losses resulting from inaccurate information supplied or approved by the traveler.

Corrections requested after booking may be subject to supplier restrictions, fare differences, cancellation and rebooking requirements, or additional fees.

5. AUTHORIZATION TO BOOK

When you instruct Hallmark Travels to book an itinerary, submit payment information, approve a proposal, or otherwise authorize a reservation, you authorize Hallmark Travels to make the applicable travel arrangements on your behalf.

Once a booking has been submitted to a supplier, the supplier’s cancellation and change rules may apply immediately.

You are responsible for reviewing the proposed itinerary before giving final authorization.

6. DEPOSITS AND FINAL PAYMENTS

Many travel reservations allow an initial deposit with the remaining balance due later.

Deposit amounts and final-payment deadlines are established by the applicable supplier and may vary.

Missing a required payment deadline may result in automatic cancellation of part or all of a reservation.

Hallmark Travels may send payment reminders as a courtesy; however, the traveler remains responsible for ensuring that all required payments are made by the applicable deadline.

Hallmark Travels is not responsible for a reservation canceled by a supplier because the traveler failed to provide payment by the required deadline.

7. PAYMENT PLANS AND THIRD-PARTY FINANCING

Certain reservations may qualify for supplier payment plans or third-party financing/payment services.

Availability of services such as installment payments or buy-now-pay-later programs is determined by the applicable provider and may be subject to eligibility, credit approval, fees, interest, or separate terms.

Hallmark Travels does not control approval decisions made by third-party financing providers and does not guarantee that any traveler will qualify.

The traveler is responsible for reviewing and accepting the third-party provider’s terms before using such services.

8. CREDIT AND DEBIT CARD AUTHORIZATION

By providing payment information or approving a payment authorization, you represent that you are authorized to use the payment method provided.

You authorize the applicable supplier, Hallmark Travels where applicable, and/or its authorized payment processor to charge the approved amount.

Some trips may result in multiple charges from different suppliers rather than one combined charge.

The name appearing on a credit-card statement may therefore be the airline, hotel, tour operator, cruise line, payment processor, host agency, or another authorized travel supplier rather than ā€œHallmark Travels.ā€

9. CANCELLATIONS, CHANGES, AND REFUNDS

Travel reservations are subject to the cancellation and change policies of the applicable supplier.

Some reservations may be refundable, partially refundable, changeable for a fee, eligible only for future travel credit, or completely nonrefundable.

Nonrefundable reservations generally remain nonrefundable when a traveler voluntarily decides not to travel, except when otherwise required by applicable law or supplier policy.

Cancellation penalties may increase as the travel date approaches and may eventually reach 100% of the reservation cost.

Hallmark Travels does not determine whether a supplier will approve a refund and cannot guarantee the amount or timing of any refund controlled by a third-party supplier.

Any Hallmark Travels professional service fee is governed separately by the fee policy disclosed when that service was purchased.

10. AIRLINE TICKETS AND FLIGHT CHANGES

Airline tickets are governed by the airline’s fare rules and applicable law.

Airline schedules, aircraft, flight numbers, seating assignments, routes, and connection times may change after booking.

When applicable law provides a right to a refund because an airline cancels or significantly changes a flight, nothing in these Terms is intended to eliminate or limit that legal right.

The federal 24-hour airline cancellation/refund requirement does not necessarily apply in the same manner to tickets purchased through travel agencies or other third-party ticket agents. Travelers should review the applicable booking and airline rules before purchasing.

Hallmark Travels is not responsible for an airline’s operational decisions, delays, cancellations, missed connections, baggage handling, schedule changes, seat changes, or other actions outside Hallmark Travels’ control.

11. PASSPORTS, VISAS, AND ENTRY REQUIREMENTS

Each traveler is responsible for obtaining and carrying all required travel documentation.

Depending on the destination, this may include a valid passport, visa, travel authorization, tourist card, entry form, proof of onward travel, vaccination documentation, parental authorization for minors, or other documentation.

Some destinations require passports to remain valid for a specific period beyond the scheduled return date.

Entry requirements may change at any time.

Travelers are responsible for checking the requirements applicable to their citizenship, passport, destination, transit countries, and individual circumstances before departure.

Hallmark Travels may provide general travel information as a courtesy but does not provide legal or immigration advice and does not guarantee that a traveler will be permitted to enter or transit any country.

No refund is guaranteed when travel is missed because of insufficient, incorrect, expired, or missing documentation.

12. HEALTH, SAFETY, AND DESTINATION CONDITIONS

Travel involves risks that may differ significantly by destination.

Travelers are responsible for evaluating destination conditions and determining whether travel is appropriate for them.

This includes reviewing applicable government travel advisories, health requirements, weather conditions, local laws, security conditions, and other relevant information.

Requirements and destination conditions can change between booking and departure.

13. TRAVEL INSURANCE

Travel insurance is strongly recommended.

Depending on the policy purchased, insurance may provide coverage for certain cancellations, interruptions, medical emergencies, evacuation, baggage problems, delays, or other covered events.

Coverage varies significantly between policies.

Hallmark Travels does not guarantee that a particular claim will be covered or paid.

When travel insurance is offered and the traveler declines coverage, the traveler accepts responsibility for losses that could potentially have been covered by insurance.

Travelers purchasing insurance are responsible for reviewing the policy’s coverage, limitations, exclusions, deadlines, pre-existing-condition provisions, and claim requirements.

14. HOTELS AND RESORTS

Hotel descriptions, star ratings, amenities, photos, room descriptions, and other property information may be supplied by the hotel, supplier, or booking platform.

Actual rooms, views, furnishings, amenities, renovations, restaurants, pools, beaches, entertainment, and other features may differ from photographs or descriptions.

Special requests such as adjoining rooms, connecting rooms, specific floors, bedding preferences, early check-in, late checkout, upgrades, or particular views are requests only unless specifically confirmed in writing by the supplier.

Hotels and resorts may collect additional charges directly from guests, including resort fees, security deposits, incidental holds, parking fees, destination fees, local taxes, or other charges.

15. CRUISES

Cruise reservations are subject to the cruise line’s passenger contract and other applicable policies.

Cruise lines may change ports, itineraries, arrival or departure times, entertainment, ships, or other elements when permitted under their passenger contracts.

Travelers are responsible for having all documentation required by the cruise line and the governments of every applicable destination.

Missing the ship, arriving late, or being denied boarding may result in substantial additional expenses that are the traveler’s responsibility.

16. VACATION RENTALS AND PRIVATE ACCOMMODATIONS

Vacation rentals, villas, and private accommodations may be governed by separate rental agreements, security-deposit requirements, occupancy limits, house rules, cleaning requirements, and cancellation policies.

Travelers are responsible for complying with all property rules.

Hallmark Travels is not responsible for actions taken by a property owner or manager because a traveler violates the property’s terms.

17. EXCURSIONS, TOURS, AND ACTIVITIES

Excursions and activities may involve physical activity and inherent risks.

Travelers are responsible for determining whether an activity is appropriate based on their individual circumstances.

Age, weight, height, mobility, health, licensing, swimming ability, or other restrictions may apply.

Third-party excursion providers are independently responsible for operating their services.

18. SPECIAL NEEDS AND ACCESSIBILITY

Travelers should disclose accessibility requirements or other travel accommodations before booking whenever possible.

Hallmark Travels will make reasonable efforts to communicate those requests to the applicable supplier but cannot guarantee that a particular accommodation will be available unless the supplier confirms it.

Travelers should independently verify that transportation, lodging, cruise ships, excursions, and other services are suitable for their individual requirements.

19. WEATHER, NATURAL EVENTS, AND FORCE MAJEURE

Hallmark Travels is not responsible for delays, cancellations, changes, losses, or additional expenses resulting from events outside its reasonable control.

Such events may include severe weather, hurricanes, natural disasters, pandemics, epidemics, government actions, border closures, strikes, labor disputes, civil unrest, war, terrorism, supplier failures, mechanical problems, utility outages, transportation disruptions, or similar circumstances.

Any refund, credit, rebooking, or compensation resulting from such an event will be determined by the applicable supplier, insurance policy, and applicable law.

20. SUPPLIER CHANGES, DEFAULTS, AND INSOLVENCY

Hallmark Travels cannot guarantee the financial condition or future performance of any independent supplier.

If an airline, hotel, cruise line, tour operator, property owner, or other supplier ceases operations, enters bankruptcy, defaults, or fails to provide a purchased service, available remedies may depend upon the supplier, travel insurance, credit-card protections, or applicable law.

Hallmark Travels will make reasonable efforts to assist clients when such situations occur but does not guarantee reimbursement for losses caused by an independent supplier.

21. PROMOTIONAL OFFERS, COMPLIMENTARY TRAVEL, VOUCHERS, AND GIFTS

Hallmark Travels may occasionally provide or advertise promotional travel offers, certificates, vacation vouchers, airfare credits, hotel savings cards, complimentary stays, complimentary trips, gifts, or other incentives.

Unless expressly stated otherwise, these promotional benefits may be fulfilled by independent third-party providers and are separate from the client’s primary travel reservation.

ā€œComplimentary,ā€ ā€œfree,ā€ or promotional travel offers may still require payment of applicable taxes, government charges, resort fees, port fees, activation fees, booking fees, transportation costs, or other charges disclosed in the specific offer terms.

Promotional benefits may be subject to availability, eligibility requirements, expiration dates, activation deadlines, minimum-stay requirements, blackout dates, destination restrictions, age restrictions, presentation requirements, or other third-party terms.

The monetary value of promotional benefits is not guaranteed.

Promotional travel benefits cannot be exchanged for cash unless expressly stated.

A client’s primary travel reservation remains valid even if the client does not use a separate promotional benefit.

The specific terms provided with each promotional offer control if they conflict with this general section.

22. PRICE MATCHES, SAVINGS, AND ADVERTISED VALUE

Any advertised savings, discounts, private rates, promotional pricing, price-match opportunities, or other benefits are subject to the specific terms disclosed with the offer.

Travel prices can change rapidly and comparisons must generally involve substantially identical travel arrangements, including the same dates, travelers, supplier, room or cabin category, fare class, cancellation policy, inclusions, taxes, and payment requirements.

No savings or lowest-price representation should be interpreted as guaranteeing that no lower price could ever become available elsewhere unless Hallmark Travels expressly provides a written guarantee containing specific terms.

23. CHARGEBACKS AND PAYMENT DISPUTES

If you believe a charge is incorrect, you are encouraged to contact Hallmark Travels promptly so the issue can be investigated.

Initiating a chargeback does not automatically cancel a travel reservation.

Travelers remain responsible for legitimate charges authorized for services that were properly booked or provided.

Hallmark Travels may provide booking confirmations, payment authorizations, communications, supplier records, these Terms and Conditions, and other relevant documentation when responding to a payment dispute.

Nothing in this section limits a consumer’s lawful right to dispute unauthorized, fraudulent, or otherwise legally disputable charges.

24. NO-SHOWS AND MISSED TRAVEL

Failure to arrive for a flight, hotel, cruise, tour, transfer, excursion, or other booked service may be treated as a no-show.

No-show reservations may become completely nonrefundable and may cause subsequent portions of an itinerary to be canceled.

Travelers are responsible for arriving early enough to satisfy the supplier’s check-in and boarding requirements.

25. REVIEWING TRAVEL DOCUMENTS

Travelers are responsible for reviewing confirmation documents and notifying Hallmark Travels promptly if anything appears incorrect.

Failure to report an error promptly may limit the ability to correct it without additional cost.

Travelers should continue monitoring their email, airline reservations, cruise reservations, and other travel communications before and during travel because suppliers may change schedules or requirements.

26. LIMITATION OF RESPONSIBILITY

Hallmark Travels will exercise reasonable care in providing professional travel-advisory and booking services.

However, independent travel suppliers are responsible for delivering the travel products and services they operate.

To the maximum extent permitted by applicable law, Hallmark Travels is not responsible for the acts, omissions, negligence, failures, delays, cancellations, bankruptcy, overbooking, schedule changes, service quality, injuries, losses, or other conduct of independent third-party suppliers or events outside Hallmark Travels’ reasonable control.

Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited.

27. PERSONAL PROPERTY AND BAGGAGE

Travelers are responsible for protecting their money, identification, passports, luggage, electronics, valuables, and other personal belongings.

Lost, delayed, or damaged baggage claims are generally governed by the applicable airline, cruise line, transportation provider, insurance policy, and applicable law.

28. TRAVELER CONDUCT

Travelers are responsible for complying with supplier rules, local laws, immigration requirements, security procedures, and reasonable standards of conduct.

A supplier may refuse service, remove a traveler, or cancel services when permitted under its policies or applicable law.

Hallmark Travels is not responsible for costs resulting from a traveler’s misconduct, violation of law, violation of supplier rules, intoxication, disruptive behavior, or refusal to comply with lawful instructions.

29. MINORS

A parent, legal guardian, or other legally authorized adult must make or approve travel arrangements for minors where required.

Additional consent forms or documentation may be required when a minor travels without both parents or legal guardians.

The responsible adult is responsible for determining and satisfying those requirements.

30. GROUP BOOKINGS

When one person communicates with Hallmark Travels on behalf of multiple travelers, that person represents that they have permission to communicate information and booking decisions on behalf of the applicable travelers.

Each traveler remains subject to these Terms and the supplier’s terms.

Group pricing, inventory, deposits, cancellation rules, name-change rules, and deadlines may differ from individual reservations.

31. COMMUNICATIONS AND ELECTRONIC CONSENT

By submitting an inquiry or conducting business with Hallmark Travels, you consent to receiving communications reasonably related to your request or booking by email, telephone, text message, online messaging, or other contact methods you provide.

Electronic approvals, online forms, electronic signatures, checkbox acceptances, emails, and other electronic communications may be used as evidence of authorization and agreement.

Marketing communications will be handled in accordance with applicable law and available opt-out requirements.

32. PRIVACY

Hallmark Travels may collect personal information necessary to research, arrange, manage, and service travel reservations.

Certain information must be shared with applicable travel suppliers and service providers to complete requested transactions.

Personal information will be handled in accordance with Hallmark Travels’ Privacy Policy and applicable law.

Travelers should avoid transmitting sensitive payment or identification information through unsecured communication channels when a secure method is available.

33. WEBSITE INFORMATION

Hallmark Travels makes reasonable efforts to provide accurate website information but cannot guarantee that every price, photograph, description, promotion, destination requirement, supplier policy, or other item will always be complete or current.

Obvious typographical, technical, pricing, or display errors do not create a binding obligation to honor an incorrect price or term where permitted by law.

34. INTELLECTUAL PROPERTY

Unless otherwise indicated, Hallmark Travels branding, original website content, written materials, graphics, logos, and other proprietary materials may not be copied, reproduced, distributed, or commercially used without permission.

Third-party trademarks, photographs, supplier descriptions, and other materials remain the property of their respective owners.

35. GOVERNING LAW AND DISPUTES

These Terms will be governed by the laws of [INSERT STATE OF BUSINESS REGISTRATION], without regard to conflict-of-law principles, except where applicable federal law or another jurisdiction’s mandatory consumer protections apply.

Before beginning formal legal proceedings, the parties are encouraged to attempt in good faith to resolve disputes directly.

Nothing in these Terms eliminates any legal rights or remedies that cannot lawfully be waived.

36. SEVERABILITY

If any portion of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.

37. CHANGES TO THESE TERMS

Hallmark Travels may update these Terms from time to time.

The version applicable to a transaction will generally be the version in effect when the applicable service is purchased or booking authorization is provided, subject to subsequent changes required by law.

The current version will be posted on the Hallmark Travels website with an updated effective date.

CLIENT ACKNOWLEDGMENT

By checking the applicable acceptance box, submitting payment, authorizing Hallmark Travels to make a reservation, or otherwise proceeding with a booking after being provided access to these Terms, I acknowledge that I have read, understood, and agree to the Hallmark Travels Terms and Conditions and the applicable terms, conditions, cancellation policies, and restrictions of the travel suppliers included in my reservation.
