Group Travel Bootcamp!
Bring One Group Trip...Build the system behind it.
Group Travel Bootcamp is a four-week, hands-on program for active travel advisors who already understand the basics of selling travel but are newer to groups, have managed only a few, or need a more organized way to handle them.
We’ll take one current or future group and work on the structure behind it: an organized home for your trip information, a clear understanding of your costs and profit, a booking and marketing setup your travelers can use, and a repeatable workflow from booking through departure.
Bring your group, your questions, and a willingness to implement what we cover.
WHO THIS IS FOR
This bootcamp is for advisors who already understand the basics of selling travel but are newer to groups, have managed only a few, or need a more organized way to handle them.
You should have supplier access, understand the basic booking process, and have a way to collect client information and payments. You’ll also need a Facebook Account for our private group, a Google account and a willingness to use Google Drive.
This is not a how-to-become-a-travel-agent course. We won’t cover choosing a host agency, obtaining supplier access, or starting a travel business from scratch.
WEEK 1: ORGANIZE IT
Build Your Group Travel Command Center + AI Optimization
Create an organized home for your group and identify what’s missing.
• Build your Group Travel Command Center and Google Drive folder structure.
• Sort what you already have, what you still need, and where everything belongs.
• Use AI to help organize group information and identify gaps.
WEEK 2: KNOW YOUR NUMBERS
Understand Your Group’s Cost, Price, and Profit
Know what you’re charging, how many travelers you need, and what you expect to earn.
• Work through supplier costs, markup, commission, and host splits.
• Account for group expenses, payment processing, a cushion, and your profit target.
• Calculate minimum travelers, break-even, and projected profit.
WEEK 3: GET IT READY TO SELL
Build Your Offer, Booking Process, and Marketing Plan
Prepare a trip travelers can understand and book, with a plan to promote it.
• Define your offer, inclusions, exclusions, and booking page.
• Outline deposits, payment deadlines, policies, roommate expectations, and FAQs.
• Prepare confirmation and welcome communication.
• Plan launch messaging, social content, email, and follow-up with AI-assisted marketing.
WEEK 4: MANAGE THE MOVING PIECES
Build Your Workflow From Booking to Departure
Know what needs to happen, when it’s due, and where you’re tracking it.
• Use Trello/project management and a master group checklist to organize the work.
• Track travelers, payments, supplier deadlines, rooming lists, flights, and travel documents.
• Plan predeparture communication, task ownership, delegation, and automation—including a workflow for solo advisors.
