TERMS AND CONDITIONS — THE PHD RACE

These Terms and Conditions apply to every product sold through The PhD Race, including products distributed via Stan store and any future digital products released under this brand. Please read them before you buy. When you complete a purchase, you confirm that you have read these terms and agree to them.

If anything here is unclear, email hello@thephdrace.com and I will walk you through it before you buy.

1. WHO YOU ARE BUYING FROM

The PhD Race is a digital product business based in Alberta, Canada. In these terms, "we," "us," and "The PhD Race" all refer to the same business. "You" means the person making the purchase. The point of contact for everything in this document is hello@thephdrace.com.

2. WHAT YOU ARE BUYING

The PhD Race sells two kinds of products: digital products and coaching calls. Digital products include presentation templates, supporting tools, written guides, spreadsheets, and any future digital products released under this brand. Coaching calls include single sessions and multi-call packages. Different terms apply to each, so please read the section that applies to what you are buying.

Digital products: you are buying a licence to use the files for your own academic work.

Your purchase gives you the right to: download and keep your own copy of the files; edit and adapt them for your own PhD or academic work; use them across your supervisor meetings, committee meetings, proposal defense, thesis defense, and any other personal academic context.

Your purchase does not give you the right to: share the files with another person, including labmates, cohort members, or colleagues; upload the files to a shared drive, department server, or any platform where others can access them; resell, redistribute, or give the files away; use the files, in whole or in part, to create a product of your own; post the files publicly online.

Each person who wants to use the system needs their own copy. If you would like to share The PhD Race with someone, please send them to hello@thephdrace.com so they can get their own.

Coaching calls: you are buying access to one-on-one time with me to talk through your PhD work. The specific terms for coaching calls are in section 5 below.

3. INTELLECTUAL PROPERTY

Every product sold through The PhD Race, and everything inside those products, is the intellectual property of The PhD Race and is protected by copyright law. This includes the templates, the structure, the wording, the layouts, the supporting tools, the slide designs, the spreadsheets, the written content, the visual assets, and the brand itself. Nothing in these terms transfers ownership of any of this to you. You are buying a licence to use the products, not the products themselves. If you reproduce, distribute, resell, or otherwise misuse the products in a way that is not permitted under section 2, The PhD Race reserves the right to take action, including revoking your licence, removing your access, and pursuing the matter further if necessary.

4. REFUND POLICY FOR DIGITAL PRODUCTS

If you are not satisfied with a digital product, email hello@thephdrace.com within 7 days of buying and tell me what is not working for you. I will make it right. "Making it right" might mean a refund, a replacement file, a free supporting resource, or something else, depending on what is actually wrong. The point is that you are not stuck with something that does not work for you. This policy applies to every digital product in the store. After 7 days, refunds are not available, but you can still email me about any issue and I will help where I can. Coaching calls follow a different refund policy. See section 5.

5. COACHING CALLS

The PhD Race offers coaching calls in two formats: single sessions and multi-call packages. The terms in this section apply to both.

Booking your call. After you purchase a coaching call or package, you will receive booking instructions. You are responsible for scheduling your own call(s) using the link provided. Calls must be booked within 90 days of purchase for single sessions, or within 6 months of purchase for packages. After that point, the call(s) are forfeited.

Rescheduling and cancellations. You can reschedule a coaching call as long as you give at least 48 hours notice before the scheduled call time. To reschedule, email hello@thephdrace.com with the subject line "RESCHEDULE — [date and time of your call]."

Late changes and no-shows. If you cancel or attempt to reschedule with less than 48 hours notice, the call is forfeited. If you do not show up to a scheduled call, the call is forfeited. In both cases, no refund or replacement call is provided.

Refunds for coaching calls. If you cancel a coaching call with at least 48 hours notice and do not want to reschedule, you can request a refund by emailing hello@thephdrace.com. Refunds are issued for the value of the unused call(s).

Packages. If you bought a multi-call package and want to refund unused calls, the refund covers only the calls you have not yet had. Calls that have already happened are not refundable. The refund is calculated at the per-call rate of the package you bought, not the price of a standalone single session.

On the day of your call. Calls happen on the platform stated in your booking confirmation (usually Zoom). It is your responsibility to test your internet connection, audio, and video before the call. If there is a technical issue on my end, I will reschedule the call at no cost to you.

What coaching calls are not. Coaching calls are not academic supervision, formal mentorship, or therapy. They are a paid conversation with another researcher who has been through the PhD process and is sharing perspective and strategy. They do not replace the guidance of your actual supervisor, committee, or institution.

6. RESULTS AND EXPECTATIONS

The PhD Race sells tools and coaching to help you communicate your research more clearly and show up to your PhD milestones with more structure. The products are designed to support the work. They are not a substitute for the work itself. Buying a product or call from The PhD Race will not, on its own, guarantee that you finish your PhD, pass your proposal defense, pass your thesis defense, get useful feedback from your supervisor, secure committee approval, or reach any other academic outcome. Those outcomes depend on your research, your effort, your relationships, your institution, and many other factors that are outside the control of The PhD Race. The products are provided as tools and starting points. What you do with them is up to you.

7. FEEDBACK, TESTIMONIALS, AND SUBMISSIONS

If you send feedback, testimonials, suggestions, ideas, screenshots, or any other content to The PhD Race, you agree that The PhD Race may use it. This includes using it on the website, on social media, on the Stan store, in marketing materials, and in future products, with or without your name attached. If you do not want your feedback used publicly, just tell me when you send it. I will respect that. Feedback you send is not treated as confidential unless you specifically say so.

8. DELIVERY AND ACCESS

Digital products are delivered through Stan store. After you complete your purchase, you will receive a download link or access instructions through Stan. Coaching calls are delivered through the booking instructions you receive after purchase. If something goes wrong with delivery of either, email hello@thephdrace.com and I will sort it out. Stan store is a third-party platform. The PhD Race is not responsible for technical problems caused by Stan, your payment provider, your internet connection, your device, or any other third-party service involved in delivering the product to you. If a delivery issue is on my end, I will fix it. If it is not, I will still help where I can but the resolution may depend on the third-party platform.

9. PRICING AND PAYMENT

Prices for products sold through The PhD Race are set at the point of sale and may change over time. The PhD Race does not offer retroactive price matching if the price of a product drops after you buy it. All payments are processed through Stan store and its payment partners. The PhD Race does not store or have access to your payment details.

10. LIMITATION OF LIABILITY

The products are provided as is. The PhD Race does its best to make sure everything works as described, but no digital product is perfect. To the fullest extent permitted by law, The PhD Race is not liable for any indirect, incidental, consequential, or special damages arising from your use of any product, including but not limited to lost time, lost work, lost opportunities, academic outcomes, or technical issues on your device. If The PhD Race is ever found liable for anything under these terms, the maximum amount you can recover is the amount you actually paid for the product in question. Nothing in this section limits any rights you have under consumer protection law in your jurisdiction that cannot be waived by agreement.

11. ACCOUNT AND ACCESS

The PhD Race reserves the right to revoke access to any product, refuse future purchases, or end the licence granted in these terms if you breach these terms, particularly the intellectual property provisions in section 3.

12. PRIVACY

The PhD Race only collects the information needed to deliver your purchase and communicate with you about it. That information is handled by Stan store and any email tools used to send you product-related messages. The PhD Race does not sell your information to anyone. 13. CHANGES TO THESE TERMS

These terms may be updated from time to time. The version that applies to your purchase is the version that was live on the date you bought the product. The current version will always be available on the Stan store.

14. GOVERNING LAW

These terms are governed by the laws of the Province of Alberta, Canada, and the federal laws of Canada that apply there. Any disputes that cannot be resolved by emailing hello@thephdrace.com first will be handled in the courts of Alberta.
